Hiring HOA Contractors and Service Providers: Why Due Diligence Matters

Your HOA receives three bids for a major project. One costs far less than the others. It looks like the obvious choice until the board notices that the proposals do not cover the same work. One excludes repairs that may be needed beneath the surface. Another specifies different materials. A third leaves permits and cleanup out of the price. The board has three numbers, but it does not yet have three comparable bids.

Hiring HOA contractors and service providers takes more than finding the lowest price. Before approving a significant contract, directors need to understand what the association is buying, whether the provider is qualified, and what could add to the cost after work begins. A manager can gather proposals and make a recommendation. The board still needs enough information to make an informed decision.

Start with the scope of work. Do the bids cover the same tasks, materials, warranties, and exclusions? If the work requires a contractor’s license, has anyone checked that the license is active and covers the proposed work? Does the provider have insurance appropriate for the project? “Licensed and insured” on a proposal is a starting point for those checks, not the end of them.
